Operating sequence
Send the full itinerary once. We separate each movement into a clear transfer leg or a dedicated vehicle and chauffeur arrangement confirmed in writing.
Confirm the flight, passenger and luggage profile, and the agreed airport meeting point. BYZAS quotes the airport-to-hotel transfer; terminal access remains subject to the relevant airport operator.
The arrival leg ends at the confirmed hotel, villa, or other agreed destination. BYZAS coordinates the transfer only; accommodation booking and guest registration remain with the client.
The hotel-to-conference leg is quoted as a point-to-point transfer, or as dedicated vehicle coverage when the vehicle and chauffeur must remain available.
Add each confirmed side-event venue and time window to the brief. Each leg is quoted separately unless the brief requires continuous vehicle and chauffeur coverage.
Confirm the hotel or venue return to AYT, onward destination, and flight details. The return is planned as a separate point-to-point leg and remains subject to route and vehicle availability.
Conference accreditation, venue access, hotel booking, and official security clearances are not included in a transfer quote unless a separate arrangement is confirmed in writing.
Scope and boundaries
The right option depends on whether an official shuttle is sufficient or your delegation needs a private, pre-arranged vehicle and chauffeur.
Use the official shuttle where its listed hotel stops and timetable fit your itinerary. BYZAS is an independent private-transfer provider, not the conference shuttle operator.

When the vehicle and chauffeur must remain available between stops, we quote dedicated coverage around the confirmed itinerary. This is coordinated as part of the brief, not a fixed public package.
Hotel rooms, conference registration, event credentials, venue access, and official security permissions are not included unless a separate arrangement is confirmed in writing.
Vehicle assignment is matched to the itinerary, capacity and confirmed availability, and the assigned vehicle is confirmed before booking.

A clear itinerary separates confirmed transport services from permissions controlled by the conference and authorities.
BYZAS does not issue UN credentials or conference permissions. Any chauffeur, vehicle, inspection, or restricted-zone requirement must be confirmed with the organizer and relevant authorities before it is added to the brief.
A transfer quote covers the agreed ground movement. Police escorts, route clearances, security teams, permits, and official access approvals are not included unless separately confirmed in writing.

If the itinerary includes Istanbul, Ankara, or another Turkish city, BYZAS reviews the full route and confirms the vehicle assignment according to the itinerary, capacity and availability before booking.
Electric or hybrid availability is not published as a guaranteed COP31 fleet category. If lower-emission transport is important, include it in the brief and we will confirm the exact vehicle, operator, and availability before quoting.
Antalya Expo Center (ANFAŞ) is the official COP31 venue listed by UNFCCC. Route planning from AYT or your hotel is confirmed against the live itinerary and access rules.
